Paragon Legal is one of the most respected names in legal staffing. They provide specialized legal talent to some of the largest companies in the world - attorneys, compliance specialists, and contract managers placed at Fortune 500 in-house legal teams. Their reputation is built on white-glove, relationship-first service.
The challenge is that every interview Paragon coordinates involves at least four parties: the client contact, the candidate, the client-side Paragon representative, and the candidate-side recruiter. The client and candidate can never be on the same email thread. So every interview becomes a mediation exercise - two parallel conversations running simultaneously, with the Paragon team racing to match availability before the window closes.
In legal staffing, speed determines who wins the placement. When a client says they want to interview a candidate, the fastest firm to get that meeting on the calendar wins. Every hour of delay is an hour where a competing agency could move first.
The team tracked timezone differences with physical sticky notes pinned next to their monitors - plus and minus calculations for every client and candidate across the country and internationally. When panel interviews came in - three interviewers needing to meet three candidates - coordination turned into what one team member called "annoying matrices on spreadsheets."

It cycles through shared Zoom rooms automatically to avoid double-bookings. It sends confirmation emails and follow-up reminders 24 hours and 2 hours before every interview. And when someone needs to reschedule, Vela updates the existing calendar invite and re-coordinates with all parties - even at 6 PM on a Friday when the entire team is offline.
For sensitive clients who don't want their email visible on calendar invites, Vela hides attendee lists automatically. For panel interviews with multiple interviewers and candidates, Vela manages the full matrix without human intervention.
